Bravix Automation (ABN 95 968 582 088) (“Bravix”, “we”, “us”, “our”) builds and operates AI-powered automation systems and a reporting dashboard for service businesses. We are based in Gold Coast, Queensland, Australia. This Privacy Policy explains how we collect, use, disclose and protect personal information, and how we comply with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

By using our website, dashboard or services, or by engaging us to build automation systems for your business, you agree to the handling of personal information as described in this policy.

1. The information we collect

Information you give us

  • Identity and contact details: name, business name, email address, phone number and postal or business address.
  • Account information: when you sign in to the dashboard with Google, we receive your name, email address and profile image.
  • Enquiry and audit information: details you submit through our website forms, chat, or during an Automation Audit.
  • Billing information needed to invoice for our services (we do not store full card numbers).
  • Any other information you choose to provide when you communicate with us.

Information we collect automatically

  • Technical and usage data: IP address, browser and device type, pages viewed, and actions taken in the dashboard.
  • Essential cookies used to keep you signed in (see “Cookies” below).
  • Server logs kept for security, troubleshooting and operating the service.

Information we collect through connected services

To deliver our services we connect to platforms you authorise on your behalf. Through these connections we may access and process:

  • Google account data, including Google Calendar information (where you grant access), used only to power the calendar and booking features of the dashboard.
  • CRM and automation data from GoHighLevel, including your contacts, leads, opportunities, bookings, pipeline stages and message history.

If you are a Bravix client, the data above may include personal information about your own customers and leads(such as their names, phone numbers and enquiries). When we handle that information we act on your behalf and under your instructions. You are responsible for having a lawful basis and the necessary consents to collect and contact those people.

2. How we use information

  • To set up, operate, maintain and improve your automation systems and dashboard.
  • To follow up leads, send appointment confirmations and reminders, request reviews, and run the automations you have asked us to build.
  • To generate AI-powered insights, action plans and suggested replies.
  • To communicate with you about your account, support requests and service updates.
  • To process payments and keep business records.
  • To protect the security and integrity of our systems and to detect and prevent misuse.
  • To comply with our legal obligations.

3. Artificial intelligence processing

Some features use third-party AI models (currently provided by Anthropic) to generate insights, summaries and suggested messages. To do this, relevant data from your dashboard may be sent to the AI provider for processing. We only send what is needed for the feature, and we do not permit your data to be used to train public foundation models. AI output can be imperfect, and you remain responsible for reviewing any message before it is sent to a customer.

4. Who we share information with

We do not sell your personal information. We share it only with the service providers needed to run Bravix, and only as necessary. Our key sub-processors include:

  • Google: sign-in (OAuth) and Calendar integration.
  • GoHighLevel: CRM, automation and messaging platform.
  • Anthropic: AI processing for dashboard insights and suggested replies.
  • Resend: transactional and notification email.
  • Upstash: rate limiting and caching.
  • Vercel: application hosting and delivery.

We may also disclose information where required by law, to enforce our terms, or to protect the rights, property or safety of Bravix, our clients or others.

5. SMS and electronic messages

Our automations may send SMS and email on your behalf. Messages are sent only to people who have a relationship with, or have enquired with, the relevant business, consistent with the Spam Act 2003 (Cth). Every message identifies the sender and recipients can opt out at any time (for example, by replying STOP). As a Bravix client you are responsible for ensuring you have the right to message the contacts in your account.

6. Cookies

We use a small number of strictly necessary cookies, primarily to keep you securely signed in to the dashboard. We do not use third-party advertising cookies. You can block or delete cookies in your browser, but parts of the dashboard may stop working if you do.

7. Data security

We take reasonable steps to protect personal information from misuse, loss, and unauthorised access, including encrypted connections, access controls and invite-only access to the dashboard. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

8. Data retention

We keep personal information for as long as needed to provide our services and to meet our legal, accounting and reporting obligations. When information is no longer required, we take reasonable steps to delete or de-identify it. If you end your engagement with us, you can ask us to return or delete your data, subject to any records we are required to keep.

9. Overseas storage and disclosure

Some of our service providers store and process data on servers located outside Australia. Where this happens, we take reasonable steps to ensure your information is handled consistently with the Australian Privacy Principles.

10. Your rights

You can ask us to access or correct the personal information we hold about you. To make a request, or to raise a privacy concern, contact us using the details below. We will respond within a reasonable time. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

11. Children

Our services are intended for businesses and are not directed at children. We do not knowingly collect personal information from children.

12. Third-party links

Our website and dashboard may link to third-party sites. We are not responsible for the privacy practices of those sites, and we encourage you to review their policies.

13. Changes to this policy

We may update this Privacy Policy from time to time. The “last updated” date at the top shows when it was last revised. Material changes will be notified through the dashboard or by email where appropriate.
